DELONIX LLC (“Atrionos,” “we,” “us”) provides software to homeowners associations, boards, residents, and property managers. The association or management company that subscribes to Atrionos generally controls the community information placed in the service. Atrionos processes that information to provide the service.
Information we collect
Information you provide directly
- Demo and contact details such as name, email address, organization, and message.
- Account information such as name, email, role, association membership, and profile details.
- Community content such as governing documents, meeting materials, requests, announcements, and information an association chooses to manage in the portal.
- Questions submitted to the document assistant and feedback about answers.
- Support communications and records needed to administer a subscription.
Information collected automatically
The website and service may collect IP address, browser and device information, requested pages, timestamps, authentication events, and diagnostic or security logs. We use this information to deliver, protect, troubleshoot, and improve the service. The public marketing site does not use behavioral advertising and does not sell visitor data.
Information from public and authorized sources
During onboarding, Atrionos may use automated agents to retrieve and cross-check official property and parcel records from assessor, cadastral, tax, GIS, plat-map, and similar government sources. These records may include recorded owner names, property addresses, parcel identifiers, and assessment information. Atrionos uses them to assemble an initial community property roster, which the subscribing customer must review for accuracy before using it for notices, voting, collections, enforcement, or another legally significant action.
How we use information
- Provide, secure, maintain, and support Atrionos.
- Authenticate users and apply association and role-based access controls.
- Build and verify an association’s initial property and owner roster.
- Index community documents and return answers with source citations.
- Detect recurring themes across document queries and portal messages for board-facing Pulse insight without displaying the person’s identity.
- Respond to demo requests, support questions, and security reports.
- Meet legal obligations, prevent abuse, and enforce agreements.
- Understand product performance using aggregated or de-identified information.
AI processing
When a user asks the assistant a question, Atrionos may send the question and relevant excerpts from that association’s documents to an AI service provider to generate the requested answer. Atrionos does not use customer documents or assistant content to train foundation models and does not opt customer content into provider training. Answers can be incomplete or wrong; citations should be reviewed, and legal questions should go to qualified counsel.
When we share information
We share information only as reasonably necessary in these situations:
- Service providers. Providers for application hosting and delivery (including Cloudflare, which serves this website and provides cookieless traffic analytics), managed database, authentication and storage, AI processing, and email delivery (Resend, which delivers contact-form messages to our team). They process only the information needed for those functions under contract and Atrionos’s instructions. Provider details are available on request.
- The subscribing customer. Association administrators receive the records and operational information their role permits. Board-facing Pulse is designed not to identify the people behind document queries or portal messages.
- Legal and safety reasons. When required by law or reasonably necessary to protect people, rights, systems, or the service.
- Business change. In connection with a financing, acquisition, reorganization, or sale, subject to appropriate confidentiality and notice obligations.
We do not sell personal information and do not share it for cross-context behavioral advertising.
When Atrionos processes personal information for a subscribing association or management company, the parties’ responsibilities are governed by the customer agreement and, where required, a data processing addendum available on request.
Retention and deletion
We retain information for the period needed to provide the service, honor the customer agreement, meet legal obligations, resolve disputes, and protect the service. Community content is retained according to the subscribing customer’s instructions and contract. After termination, we provide a reasonable export period and then delete or de-identify data from active systems, subject to legal holds and provider backup cycles.
Your choices and privacy rights
Depending on where you live and the law that applies, you may have the right to request access, correction, deletion, or a copy of personal information, or to object to certain processing. Atrionos does not sell personal data, use it for targeted advertising, or make legally significant decisions through profiling. Residents should first contact their association for community records because the association usually controls that data. You may also contact us directly.
We will not discriminate against you for exercising an applicable privacy right. If we deny a request, you may ask us to reconsider by replying to the decision or using the contact information below.
Cookies and local storage
The public website sets no tracking or advertising cookies and shows no cookie banner because none is needed. Traffic is measured with Cloudflare Web Analytics, which is cookieless and does not identify or track individual visitors. The contact form is protected by Cloudflare Turnstile, a privacy-preserving bot check that does not track visitors across sites and may use strictly necessary browser storage to complete its security check. The authenticated portal uses session and storage technology needed for sign-in, security, preferences, and application operation. We do not use advertising cookies anywhere.
Security
We use administrative, technical, and organizational safeguards appropriate to the information we handle, including tenant-scoped data access, role-aware controls, encrypted transport, managed encryption at rest, restricted administrative access, backups, and operational monitoring. No system can be guaranteed completely secure. Security concerns may be reported to the contact address below.
Children
Atrionos is not directed to children under 18, and we do not knowingly collect personal information directly from children through the public site. Community customers should not upload children’s information unless they have a lawful, necessary reason and appropriate authority.
Changes to this notice
We may update this notice as Atrionos changes. We will post the revised date here and provide additional notice when a change materially affects how customer data is used.
